Securing collaborations and building partnerships are the cornerstones of establishing a strong brand. What’s more, there are undoubtedly numerous benefits to publicly working with similar or relevant businesses. These may include shared audiences, brand visibility, improved online image, a more prominent online presence, and more.
However, crafting compelling email copy to initiate such collaborations can be a delicate and time-consuming task. It requires charisma, finesse, and a quick turnaround time.
So here's where HyperWrite Personas step in. This AI-driven tool can streamline the outreach process, creating a more efficient system for forging valuable business connections.
Here’s how you can get started:
Step 1 - Add the Background Information of Your Company Now normally, we tackle the Background Information Section later as it’s the third section in the Edit Persona Page. But for this project, the Background Information is crucial. It’s the primary source of information for your Partnership Persona. The AI is going to prioritize whatever data it holds.
Here’s why that’s important:
Information Unique to Your Company. Whatever info you put in the Background Information section, HyperWrite won’t bother fact-checking. So it’s a good place to put your company’s specifics — products, pricing, contact emails, and so on.
And when you’re suggesting a partnership or collaboration, this is the information businesses want to know.
Specifics Matters. The online business landscape is oversaturated. It’s easy to get overshadowed and overwhelmed. If you’re aiming to partner with other brands, you can’t afford to be general or vague. You need to tell brand owners exactly who you are and what you have to offer. Otherwise, they won’t bother hearing you out.
Consistent Responses = Consistent Branding. Unlike the information that the AI can gather from external sources, the information you provide in the Background Information section won’t change (unless you go in and edit it). So the Persona will return the exact same information whenever prompted. This results in a consistent accuracy that can only serve to strengthen your brand’s image.
More Information, Less Required Input. The more information you give the AI when you’re programming it, the less details you have to give later on.
Note: For the sake of this article, we’re creating a Persona that writes partnership emails.
For example, you want it to write an email for an online clothing brand that you’d like to work with. Here’s what the Persona would write if you didn’t include certain details of your company in the Background Information section:
And here’s what it would write if the information was included:
See the difference? The first one, while it reads well and has most details, doesn’t include two pieces of information that we can find in the second iteration — namely (1) a link to the online portfolio and (2) our channel’s standard offer.
If the data you want to include doesn’t exist in the Background Information section, you’d have to (1) include it in the prompt or (2) edit the output.
This could add an extra 30-40 seconds of work for every email you have the Persona generate.
Imagine having to manually copy-and-paste the standard offer every time.
But if you take the time to include the necessary information in the Background Information section early on, you won’t have to spend those extra few seconds at all.
Background Information Suggestions
Consider including the following details in the Background Information section of your Partnership Persona:
Company Name CEO Name Co-Founder Name Company Mission/Vision Statement Link to Website Link to Social Media Page How to Get More Information
These are just suggestions, of course. The data you input in this section will, ultimately, depend on your business needs.
Step 2 - Set Writing Examples for the Desired Brand Voice One of HyperWrite Personas’ many strengths is its ability to understand and replicate the nuances of different writing styles. This is where the Writing Examples section comes in. If you want your Persona to write like you — and not like an AI — you need to train it using the right materials. And in this case, the “right materials” are partnership emails that you want the Persona to copy.
When someone’s learning how to draw, they often use reference photos or models so that they can get the different elements – like form, flow, and other details – right. Likewise, the HyperWrite Persona needs written content to reference so that it can emulate the specific brand tone and writing style.
Luckily, finding partnership emails to include in the Writing Examples section is simple enough. Here are some places to look:
Your Inbox. If you’ve already sent partnership emails before, find the ones that garnered a positive response. Aside from having your brand voice, these emails also have a proven track record. You’ll want your Partnership Persona to replicate whatever elements or features they had that made them appealing.
Online Templates. If you don’t have existing partnership emails or you’d like to try different styles, you can scour the internet for email templates. Some copywriters are perfectly okay with sharing their email copies online at zero cost. If you find sample emails that you like, you can include them in this Writing Examples section.
AI-Generated Samples. Alternatively, you can ask AI to draft responses for hypothetical situations. Prompt the AI to write a partnership email, then edit and refine the output to better fit your brand. This is probably the simplest way to gather writing examples. However, it is also the one without a proven track record.
For best results, I recommend including samples from two or all three places. Variety in the writing samples will expand the AI’s frame of reference and, ideally, refine different elements of its writing – like perplexity, burstiness, and coherency – so that it sounds more human-like.
Quality Over Quantity
The whole Persona Creation Page has a character limit of 10,000. So you can’t just provide dozens of writing samples and hope for the best. For best results? Review the partnership email samples you want to give to the HyperWrite Persona and pick the best ones.
Some metrics to consider:
Strength of Brand Voice Clarity & Consistency of Branding Language & Tone Engagement & Appeal Readability
Always try to find the best possible data to train your Persona.
Step 3 - Adjust Final Tweaks to the Persona’s Data When you’re done filling up the background information and you’ve provided ample writing samples, it’s time to put the finishing touches on the Persona. Here’s what else you can (and should) do to properly program the AI.
Fill in the Instructions section. This is where you will define the Persona’s role and responsibilities. A clear definition will help the AI refine the content it generates.
Review the Writing Examples. Double-check the examples you provided. Do all the email samples align with your brand message and voice? Are all of them written in a style you’d like to equate with your brand?
Ensure Background Information is Correct. Before you test the Partnership Persona, review the Background Information section, too. Is everything correctly spelled? Is the information up-to-date? Does it convey the pertinent details of your company?
Remember; the more time and effort you sink into programming the Persona, the less effort and input you’ll have to invest in it later on.
Step 4 - Test the Persona Before you integrate the Partnership Persona into your communications process, it’s best to test its performance first. You can ask it to write one or two sample emails using specific prompts.

What’s great is that it took less than a minute to generate each email. Truly, the part of the process that took the longest time was the prompt writing.
